For healthcare and public-sector work
Interpreting agency software for healthcare and public-sector contracts
Hundreds of bookings a week from wards, clinics, GP practices and council teams, each with its own reference and cost centre; telephone and video when a face-to-face slot can't be filled; timesheets, consolidated invoices and the management information a framework asks for, from one system.
In short
Healthcare and public-sector interpreting is high volume, short notice and heavily reported. A trust or council is one client with dozens of departments, each booking needs a reference the finance team recognises, a face-to-face slot that can't be filled has to become a telephone or video session quickly, and the contract wants numbers every month. LinguisTriks gives each department its own contacts under one client, carries references and cost centres on every booking, offers jobs to a shortlist by email and text in one go, and builds the monthly report from the same records.
Volume
Hundreds of bookings a week, by department
A trust, a hospital or a council is one client with many requesters. Keep each department's contacts under the one organisation, so every booking shows who asked, which ward or team it is for, and the purchase order or cost centre the finance team will look for. Bookings keep their own time zone, and the Action needed list shows the ones still without an interpreter.
- One organisation, many departments and contacts
- Reference, PO number and cost centre on every booking
- Your own custom fields for anything a contract asks for
- Bookings without an interpreter flagged before they start
Short notice
Telephone and video when a face-to-face slot can't be filled
Offer a booking to a shortlist of interpreters by email and text in one go; the first to accept gets it, a reply sent by text is applied automatically, and the others are told once it's filled. When nobody can travel in time, switch the booking to a telephone or video session in your own rooms or Microsoft Teams, with a personal link for the clinician and the patient's interpreter.
- Job offers by email and text, accepted with one tap
- Replies by text applied automatically
- Telephone and video sessions in your own rooms or Teams
- Personal join links and a waiting room
Timesheets
Proof of attendance, approved in one place
Interpreters submit their timesheet online after each session, your team approves it, and the approved times drive the client charge and the interpreter's pay. Timesheets and declarations come out as PDFs from your own templates when a contract wants them attached.
- Online timesheets from the interpreter's phone
- Approval by your team before anything is charged
- Timesheet PDFs from your own templates
- Cancellations with or without charges, and pay decided separately
Invoicing
Consolidated invoices and statements
Put a month of bookings for a department on one invoice, or invoice each booking, as the contract requires. Send statements by organisation or by contact, follow up overdue invoices in stages, take card payments where a department can pay that way, and sync invoices and payments to Xero or FreeAgent.
- Many bookings on one invoice, per department or contract
- Statements by organisation or contact
- Staged reminders for overdue invoices
- Xero or FreeAgent sync
Management information
The numbers a framework asks for
Build the monthly report from the bookings themselves: by organisation, department, language, type of session and status, with your own custom fields as columns. Save it for the team and download it for Excel, so the MI pack is the same every month and takes minutes rather than a day.
- Report builder on bookings, clients and interpreters
- Custom fields as report columns
- Saved reports, shared with the team
- CSV and Excel downloads
Data and access
Your records in your own database, seen by the right people
Each agency has its own database, never shared with another agency's. Staff roles decide what each person may open, change and see, down to client prices, interpreter rates and bank details; sign-ins, actions and field-level changes are logged; and clients and interpreters each see only their own portal.
- A separate database for each agency
- Staff roles with view or edit rights per part of the portal
- Sign-in with Microsoft Entra ID, with the option to turn off passwords
- Sign-ins, actions and changes logged
Questions
Healthcare and public-sector work, answered
Can NHS trusts, hospitals and councils book through a portal?
Yes. Each requester gets their own secure sign-in under their organisation, requests interpreters, sees the status of every booking and, where the organisation pays that way, pays invoices online. Requests by email and phone go into the same list.
Can bookings carry PO numbers, cost centres or ward details?
Yes. Every booking has a client reference, and your own custom fields hold cost centres, ward or team names, case numbers or anything else a contract asks for. They appear in reports as columns.
Can you produce the management information a framework asks for?
The report builder works from the bookings themselves: by organisation, department, language, type of session and status, with custom fields as columns. Save the report once and download it for Excel each month.
What happens when a face-to-face booking can't be filled in time?
Switch it to a telephone or video session. Sessions run in your own meeting rooms or as a Microsoft Teams meeting created for the booking, with personal join links, so the clinician and the interpreter join from wherever they are.
Who can see patient and client details?
A booking holds the details you enter and nothing more. Each agency has its own database, staff roles limit what each person may open, change and see, interpreters see only their own jobs, and sign-ins and changes are logged. What you record about a patient is your agency's policy under its contract.
Does it work for US hospitals and health systems?
Yes. Agencies in the US use it with assignments in US time zones, text messages to interpreters, card payments through Stripe or PayPal and interpreter payouts by ACH. Talk to us about any data-handling requirements in your contracts before you start.
How much does it cost?
